When to Hire a Grant Writer (and When Not To)

Gwen Valentino Win With Gwen confident grant writing, Grant Pipeline, Grant Readiness, grant writing for nonprofits in New Mexico, New Mexico grant writing, New Mexico nonprofits, The Grant Hotline, when to hire a grant writer

Every executive director knows the scene. It is 9 PM on a Sunday, and somewhere between the board packet and the dishes, the $180,000 federal application comes due. Again. Written badly. While exhausted.

We call that saving money. But you know what it actually is: the most expensive unbilled invoice in the nonprofit world.

So when should you hand grant writing to someone who does it all day? Here is the honest test I use with teams.

The ninety-second test

Open your last application and read only the first paragraph. Could a tired reviewer see your program in it? A room, real people, a specific number, a place. If yes, keep writing. If what they see is a mission statement wrapped in adjectives, the writing needs a hundred more drafts or a different set of hands.

Hire it out when three things are true

One: you have a live deadline and no writing capacity, and everyone's "next week" has been eleven weeks. Two: your program is real and documentable. Three: the cost of your staff hours genuinely exceeds the cost of the help.

Don't hire it out when

Your organization isn't ready yet (fix readiness first, a grant can't fix a foundation). You want to learn the craft and have the time (that's a wonderful goal, and tools like Greenlight Grantmaker make it faster). Or the budget genuinely can't stretch, in which case good $27 systems will carry you until it can.

P.S. If you just read the "three things are true" list and felt a pang of recognition: The Grant Hotline is my done-for-you service, 48-hour turnaround, and the details are at nmgrantwriters.com/the-grant-hotline/.

Is This the Right Time to Invest in Grant Writing Support?

NM Grant Writers Win With Gwen grant writing services, grant writing support nonprofit, nonprofit funding strategy, nonprofit growth funding, when to hire a grant writer

Let’s Be Honest for a Moment 💛

Let’s take a breath together 🌿

Because this is a question many nonprofit leaders are quietly asking:

👉 Is this the right time to invest in grant writing support?

And the answer isn’t always yes.

But when it is… it’s usually very clear.

Signs You’re Ready

You might be ready if:

You’re tired of starting over with every grant
You know your programs deserve more funding
You’re missing opportunities due to time or capacity
You want a clear, structured funding strategy
You’re ready to grow — but can’t do it alone

If that sounds familiar, you’re not behind.

You’re at a turning point.

What Happens When You Wait

It’s easy to think:

“We’ll figure it out later.”
“We’ll apply to a few more grants first.”

But here’s what usually happens instead:

😵 opportunities continue to be missed
📉 messaging stays inconsistent
💸 funding remains unpredictable
🔥 your team carries more pressure

Because without a system, nothing really changes.

What Changes When You Invest ✨

When you invest in the right support, you’re not just getting help writing grants.

You’re building:

A clear funding strategy
A strong grant foundation
Ongoing support and structure
A system that grows with your organization

And that’s what leads to real results.

Quick Win You Can Use Today 💫

Ask yourself:

👉 If nothing changes in our grant strategy over the next 6 months… what happens?

Your answer will tell you everything you need to know.

Pro Tip: What Funders Really Notice

Funders don’t just evaluate your proposal.

They evaluate your organization’s direction.

They’re asking:
✔ Is this organization prepared?
✔ Is their strategy clear?
✔ Are they ready to manage funding effectively?

When the answer is yes, everything becomes more competitive.

The Truth About Timing

There’s never a “perfect” time.

But there is a right time.

And it usually looks like this:

👉 When you’re ready for things to change
👉 When you’re done piecing things together
👉 When you want a more sustainable approach

That’s when support makes the biggest difference.

You Don’t Have to Do This Alone

Building a strong funding strategy takes time, structure, and consistency.

And trying to manage all of that internally can quickly become overwhelming.

You don’t have to keep carrying it by yourself.
